Job responsibilities
Responsibilities:
To provide administrative support to the country manager Serve as the point person for office manager duties including:
• Organize office operations and procedures.
• Liaise with facility management vendors, including cleaning, cargo, mobile operator and meal allowance.
• Maintain the office condition and arrange necessary repairs.
• Partner with HR / Finance / IT / Legal / Compliance/ Payroll e to update and maintain office policies as necessary.
• Collecting and returning office expense reports accurately and on time, filling out all monthly expense tables accurately.
• Organize the office layout and order stationery and equipment.
• Coordinate with IT department on all office equipment.
• Ensure that all items are invoiced and paid on time.
• Month-end reporting in Concur system (pre-accounting).
• Manage contract and price negotiations with office vendors, service providers and office lease.
• Manage office budget, ensure accurate and timely reporting.
• Provide general support to visitors.
• Assist in the onboarding process for new hires.
• Address employees queries regarding office management issues (e.g. stationery, Hardware and cargo).
• Dealing with incoming calls and emails, answering general questions from customers and escalating more complex support queries.
• Provide ad hoc EA support to CEO.
Job requirements
Requirements:
• Graduates from Bachelor's/Master's degree programs at universities.
• Fluent in English is must (B2/C1) IELTS 6.5.
• More than 3 years of experience in an international company.
• Proven experience as an Office Manager or Administrative Assistant.
• Knowledge of Office Administrator responsibilities, systems and procedures.
• Proficiency in MS Office (MS Excel and MS Outlook, in particular).
• Excellent time management skills and ability to multi-task and prioritize work.
• Attention to detail and problem solving skills.
• Excellent written and verbal communication skills.
• Strong organizational and planning skills in a fast-paced environment.
• A creative mind with an ability to suggest improvements.
